CoinCrate Bot: Privacy Policy

This Privacy Policy describes how CoinCrate ("the Bot," "we," "us," or "our") collects, uses, and stores information when you interact with our Discord bot. We are committed to protecting your privacy.

1. What Data We Collect

To provide its features and functionality, CoinCrate collects and stores the following types of data:

• Discord User IDs: Your unique Discord User ID is collected to identify you and link your data to your account. This is essential for features like balances, inventory, levels, and achievements.
• Discord Server IDs (Guild IDs): The ID of the Discord server(s) your bot is in is collected to store server-specific settings (e.g., custom prefixes) and to manage global leaderboards.
• Usernames and Discriminators: We temporarily access your Discord username and discriminator (e.g., "UserName#1234") for display purposes (e.g., on leaderboards, profiles, trade offers) while you are interacting with the bot. We do not permanently store a history of your usernames.
• Virtual Economy Data:
  • Your virtual fiat currency balance (CoinCrate Coins).
  • Your virtual crypto currency balance (CoinCrate Crypto Coins).
  • Transaction history: Logs of your in-bot currency gains and losses (e.g., daily claims, work earnings, game wins/losses, trades, shop purchases). This includes timestamps, transaction types, amounts, and descriptions.
• Game & Cooldown Data:
  • Timestamps of your last use of certain commands (e.g., `/daily`, `/work`, `/beg`, various casino games) to enforce cooldowns.
  • Game-specific data necessary for ongoing games (e.g., active trade offers).
• Inventory & Effects Data:
  • A list of virtual items you own from the bot's shop.
  • A list of active effects from items you've used (e.g., XP boosts, balance boosts), including their expiration timestamps.
• Leveling System Data:
  • Your accumulated Experience Points (XP).
  • Your current Level.
• Achievement Data:
  • A list of achievement IDs you have unlocked.
• Profile Data:
  • The number of "likes" your profile has received.
  • A limited number of recent comments left on your profile, including the commenter's User ID and the comment text.
• Trade Offer Data:
  • Details of pending trade offers, including sender and receiver User IDs, and the specific items/currencies being offered and requested.

2. How We Use Your Data

The data collected by CoinCrate is used solely for the following purposes:

• To Provide Bot Functionality: To enable all features of the bot, such as managing your balances, allowing you to play games, facilitating trades, tracking your progress, and displaying your profile.
• To Personalize Your Experience: To show you your personal stats, inventory, and achievements.
• To Maintain the Economy: To ensure fair play, prevent exploits, and manage the virtual economy system.
• To Enforce Cooldowns: To prevent spamming of commands and ensure fair usage of features.
• To Display Leaderboards: To rank users based on their in-bot stats.
• To Facilitate User Interaction: To enable features like sending coins, trading, and profile comments.
• For Internal Analytics & Debugging: To understand bot usage, identify trends, and troubleshoot issues.

3. How We Store Your Data

All user data is stored locally in a `data.json` file on the server where the bot is hosted.

In the future we will implement a database for more secure data of your virtual profile in Coincrate.

We implement reasonable technical and organizational measures to protect the data stored in the `data.json` file from unauthorized access, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure.

4. Data Retention

We retain your data for as long as you are an active user of the CoinCrate bot. If you stop using the bot, your data may be retained for a period to allow for your return, or it may be deleted after a period of inactivity at our discretion. Transaction logs are typically limited to the most recent 50 entries to prevent excessive data growth. Profile comments are limited to the most recent 10.

5. Data Sharing

We do not share your personal data with any third parties, except in the following limited circumstances:

• As Required by Law: If we are required to do so by law or in response to a valid legal process (e.g., a court order or subpoena).
• To Protect Our Rights: To protect the rights, property, or safety of CoinCrate, its users, or the public.

6. Your Data Rights

You have the following rights regarding your data stored by CoinCrate:

• Right to Access: You can request to see the data we hold about you.
• Right to Rectification: You can request corrections to any inaccurate data.
• Right to Erasure ("Right to be Forgotten"): You can request the deletion of your data. Please note that deleting your data will reset your in-bot progress (balances, inventory, levels, etc.) and is irreversible. To request data deletion, please contact us using the information below. For a full reset of your data, an administrator of a server where the bot is present can use the `/reset_user_data` command (admin-only).

7. Children's Privacy

CoinCrate is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new Privacy Policy on our support server or through other appropriate channels. Your continued use of the bot after any such changes constitutes your acceptance of the revised Privacy Policy.
